Position: Office Manger

Report to: Executive Director & Administration Manager

Code: HR02

1.      Perform all secretarial work pertaining to the Executive Director including:

§       Maintaining the time schedule of the Executive Director and keeping it up to date.

§       Type correspondence, reports and presentations (using different softwares).

§       Take minutes of meetings and transcribing them.

§       Handle all incoming and outgoing mail related to the Executive Director.

§       Arrange travel, meetings and appointments for Executive Director.

2.      Prepare all documentation and correspondence for Board of Trustees and team meetings, and keep records for all meetings.

3.      Translate Arabic documents into English as deemed necessary and vice versa.

4.   Maintain a complex filing system

5.      Assist in other administrative responsibilities as required.

6.      Perform other duties as assigned by the Executive Director.

Education:       University degree in English or literature background, or Social Sciences with portfolio of writing composition

Work Experience       A minimum of 5 years of work experience in performing administrative and secretarial duties

Computer Skill: Advanced computer skills, with good experience in Microsoft Word, Excel, Powerpoint and internet research

Languages:      Native-speaker proficiency in Arabic & English, in addition to translation of documents to and from Arabic and English

Relational Skills:      Flexible and have the ability to carry out tasks with minimum supervision
